How to bring back clients who haven’t booked in months

By Maffy · 20+ years running spas, salons and clinics · 6 min read

Your diary has gaps, and your instinct is to look for new clients: ads, offers, social media.

But your client list is already full of people who know you, liked your work and simply stopped booking. Life got busy. She moved an appointment and forgot to rebook. A friend took her somewhere else once, and she never came back.

In my clinics and spas, a personal message with an offer brought back around 40% of inactive clients. It took one person reaching out to another, with no ads and no big discounts.

Step 1: Find them

Export from your booking system every client who hasn't visited in the last 3 to 6 months. Most systems can filter by "last visit".

Count them, then multiply by your average visit value. 120 inactive clients × £60 = £7,200 in visits sitting in your list right now.

Before you message anyone, check consent: only contact clients who agreed to hear from you. In the UK, Ireland and the EU this matters, and it's simply good manners.

Step 2: Send a personal message, not a newsletter

A newsletter with "20% off this month" goes to the promotions folder. A message from a real person, using her name and her last treatment, gets read and answered.

"Hi Sarah, it's Maffy from the salon. I was looking at the diary and realised we haven't seen you since your facial in June. I'd really like to welcome you back, so I've kept a free eye treatment for you with your next facial this month. Would Thursday or Saturday suit you better?"

Four things make this work:

  1. Her name and her treatment. She knows the message was written for her.
  2. An added extra instead of a discount. A free add-on or an upgrade feels like a gift and protects your prices.
  3. A deadline. "This month" turns "one day" into a decision.
  4. A question with two options. Thursday or Saturday is easier to answer than "let me know when you're free".

WhatsApp or SMS usually works better than email. Send in small batches, 10 to 20 a day, so you can reply to everyone personally.

Step 3: Follow up once

No reply after five days? One short, warm reminder:

"Hi Sarah, just checking you saw my message. Your eye treatment is waiting for you until the end of the month."

Then stop. One message and one reminder feels caring. More than that feels like chasing.

Step 4: When she comes back, keep her

The real win is the visit after the comeback. Make her feel remembered, deliver an excellent treatment, and rebook her before she leaves, with a reason and a date.

Stop clients going quiet in the first place

What it's worth

From the example above: if 40% of 120 inactive clients come back, that's 48 visits, around £2,880, and every one of them is a chance to rebook her for the months ahead.

Your numbers will be different, so count yours. For most owners, it's the fastest money in the business.
